Terms and conditions for a quotation
The terms are where most quotation arguments are won or lost. Five to eight short lines are enough. Pick the ones that fit your business, change the numbers, and paste them into Terms and conditions in the quotation maker. The maker remembers what you typed last time.
Validity
- This quotation is valid for 15 days from its date.
- Prices are based on today's material rates and may be revised if the order is placed after the validity date.
Prices and taxes
- Prices are in Indian rupees. GST is shown separately at the rate that applies on the date of the invoice.
- Any change in GST rates or new government levy at the time of supply will be charged extra.
- Prices are for the quantities quoted. Smaller quantities may be charged at a different rate.
Payment
- 30% advance with the order, balance before dispatch.
- Full payment within 15 days of the invoice. Interest at 18% a year on late payment.
- Payment by bank transfer, UPI or cheque in the name of the business shown above.
Delivery and freight
- Delivery within 10 working days from the order and advance.
- Prices are ex-works / at our godown. Freight and loading extra at actual.
- Delivery free within city limits.
Installation and work on site
- Installation included. Electricity, water and safe storage at site to be provided by the customer.
- Civil work, scaffolding and permissions are not included unless listed above.
- Extra work beyond this quotation will be charged at the rates agreed before it is done.
Warranty and returns
- Warranty as per the manufacturer's terms. Damage from misuse, power fluctuations or water is not covered.
- Workmanship warranty of 12 months from completion.
- Goods once delivered as ordered will not be taken back.
Cancellation
- Orders for made-to-order goods cannot be cancelled after production starts. The advance covers material already bought.
Keep it fair and clear. Terms that are hidden, unclear or one-sided cause disputes and may not hold up. Write them in plain words, make sure the customer can see them before ordering, and for a large or unusual contract ask a lawyer or your accountant to read them.
Where to write what
- Terms and conditions: the rules above. They print in a box at the bottom of the quotation.
- Notes: anything only for this customer: "Revised quotation, replaces QT/26-27/004", "As discussed with Mr. Gill on 2 November", "Colour samples sent separately".
- Valid until has its own field: fill it in, so the date prints at the top where the customer sees it first.
