IT and professional services quotation format

Web designers, software developers, digital marketers, consultants, CAs, architects and trainers sell time and skill. The customer can't touch it, so the quotation must describe what they will get and when.

Lines that work

• One line per deliverable, not per hour of effort: "Business website, 6 pages, mobile-friendly, contact form, 1 Job @ ₹35,000".
• Monthly services by month: "Social media management, 12 posts a month, 3 Month @ ₹12,000".
• Hourly work in Hrs with a cap: "Support and changes, up to 10 Hrs @ ₹1,200".
• Third-party costs (domain, hosting, paid tools, travel) as separate lines or "at actual".
• SAC codes for services start with 99 (for example 9983 for many IT and professional services). Check the exact code and rate for your service.

Terms for services

• Scope is limited to the items above. Anything else will be quoted separately.
• Two rounds of changes are included. More changes are charged at ₹1,200 per hour.
• 50% advance to start, 50% on delivery. Monthly services are billed in advance each month.
• Timeline starts when the advance and all content (text, photos, logins) reach us.
• Ownership of the final work passes to the customer on full payment.

Tips

• For a customer in another state, the tax is generally IGST; the maker works it out from the customer's state.
• Export of services to a customer outside India is usually zero-rated under conditions. Choose "Outside India (export)" as the place of supply and confirm the treatment with your accountant.
• When the work starts, press Make invoice to bill the advance stage; use Copy as new on that invoice for the next milestone.
